Duties & Responsibilities

Provide managerial oversight for all aspects of marketing activities related to proposals and similar business development documents and presentations. This position reports to the Marketing Department Manager and will directly supervise proposal coordinator(s) engaged in proposal and business communications production. Tasks will include:


  • Review RFQ/RFP and qualifications request documents to fully understand client requirements
  • Develop and produce qualification and proposal packages
  • Attend kickoff meetings, assist in developing win strategy, prepare schedules and outlines for documents development, review production and delivery
  • Research project clients and competition
  • Implementation and oversight of the strategic proposal process including Go/No Go Decision Process, review process, analysis and metrics
  • Track and analyze metrics relevant to proposals including win rate and interview success rate, among others
  • Coordinate with internal and external proposal team
  • Write and edit non-technical portions of proposals including resumes, project descriptions, and company information to meet project scope and strategy
  • Create graphics, charts, and/or diagrams when necessary
  • Prepare interview presentations for development of key messages and win themes, and ensure technical accuracy and consistency
  • Review drafts and final versions for responsiveness to the RFP, accuracy, staffing, financial considerations, quality and effective design and layout
  • Develop, implement and conduct post-proposal debrief analysis and share with proposal workgroup and PM to enhance processes and future responses
  • Facilitate proposal kick-off, draft review meetings, project teaming opportunities and identify potential sub-consultants
  • Support all general marketing and client outreach efforts as required through generating, organizing, and maintaining resumes, project profiles, presentations, and other marketing collateral
  • Manage proposal coordinator(s) production schedule, workload, and assignments to meet deadlines
  • Anticipate potential problem areas and work team members to identify solutions
  • Support special projects and other responsibilities associated with the position as appropriate
  • Manage the marketing efforts for new opportunities and pursuits


Required Experience - Education and Skills

  • Bachelor’s degree in Marketing, Communications, Journalism, English or related field or equivalent experience developing proposal content within A/E/C industry
  • Intermediate to advanced knowledge of Adobe Creative Suite (particularly InDesign) and Microsoft Office Suite
  • Strong communication and organizational skills
  • Demonstrable organizational and time-management skills to meet deadlines
  • Submission of writing samples (include URL on cover letter/resume) is strongly encouraged
